"I don't see the specific grant application I need after I log in to Cayuse!"

 

If you don't see your specific Grants.gov application announcement in Cayuse after you log in and go to "Create a New Grant Proposal," please contact Jennifer Lassner or John Massa in the UI Sponsored Programs Office. Cayuse can be used for nearly all Grants.gov applications, but the UI Sponsored Programs Office must load each Grants.gov announcement into "UI Cayuse" before that particular application can be completed by UI Cayuse users.

CAYUSE - (General) Frequently Asked Questions (FAQs) :

 

 

G1. What is Cayuse?

Cayuse is a commercially available "system-to-system" alternative to the "package" Grants.gov submission procedure currently used at the University of Iowa. Instead of downloading Adobe Grants.gov packages from Grants.gov, Cayuse users log in to the Cayuse website and create their own Grants.gov application by selecting the specific agency announcement and using the Cayuse interface. Cayuse offers many user-friendly features, such as:

  • Error checking, using NIH Commons (or other federal agency) standards, PRIOR to submission
  • Creating a PDF file of the ENTIRE application (including attachments) for review PRIOR to submission
  • Storage of PI biosketches and profiles for automatic loading into the application

G2. Has the University of Iowa purchased Cayuse?

The licensing of Cayuse for Grants.gov applications at the UI will continue through June, 2010 while the UI continues to pursue long-term funding in support of Cayuse.


G.3 Is Cayuse just for NIH electronic Grants.gov submissions?

No!  Cayuse can be used for electronic Grants.gov submissions to all federal agencies that provide Adobe forms for the submission process.  If the Adobe Grants.gov form exists (for any federal funding opportunity), it will also be availble in Cayuse.  (If you don't see your specific funding opportunity in Cayuse now, just let us know by sending an e-mail to Jennifer Lassner or John Massa.)

S1. How do I add a Senior/Key Person who is NOT from the University of Iowa? I need to select a non-UI Institution for this person, and that specific institution is not on the list in Cayuse. (This refers to the "SF424 Key Persons" form in Cayuse.)

There are two ways (see below) to add a non-UI person. "(1)" is quicker and best for Modular Budgets, where budget details are not required. "(2)" will take longer but is better if you need to build a detailed budget that includes this non-UI person, and therefore needs accurate financial information about the non-UI institution:

(1) Select "**Non-UI Institution** Select This Now & Change Later" from the list of institutions presented in Cayuse, when completing the following steps. Please follow the steps EXACTLY:


  A. Click the little pencil next to 'Add/Edit KP" [KP = Key Personnel]

  B. Click the "Create New Key Person" button
  C.  Enter: First name & Last name. Click the "Create New Profile" button.

  D. From the Institution dropdown box, select "**Non-UI Institution** Select This Now & Change Later"

  E.  Click the "Save Key Person" button

  F.  Click the "Close" button (you don't have to fill out anything else on that page - you can EDIT later)

  G.  The new Senior/Key Person you just entered will appear on the list in your application.  Open that person's profile.

  H.  Retype the "Organization Name:" to show the correct non-UI institution's name (For example "Kent State")

   I.  Complete the rest of the items [data entry boxes, biosketch attachment] for this non-UI person

 

 

(2) Ask Sponsored Programs to create an accurate institutional profile for the non-UI institution.

Contact jennifer-lassner@uiowa.edu or john-massa@uiowa.edu via e-mail and specify the complete, "official" name of the non-UI organization. We'll do some research and enter accurate financial data (F&A rates) for that institution. This may take some time.


 

S2. Clicking the printer icon in the upper right corner of my Cayuse proposal, I created a PDF file of EVERYTHING (all forms and atachments). However, when I compare that PDF file (from Cayuse) with the PDF that I see on the NIH Commons, they are not identical. The Cayuse PDF has more forms/pages than the NIH Commons version! What's going on?!

This is not a glitch. If you select "all forms and attachments" in Cayuse, this WILL geneate a PDF that is not identical to what you see on the NIH Commons (or what is received by other non-NIH agencies). For example, both budgets (Modular + "detailed" Research & Related) will be contained in the Cayuse PDF, but an error-free NIH submission would never contain both budget types.

 

You should always check the proposal as it appears directly on the NIH Commons after submission. This is the only way to see exactly what the NIH reviewers will see. 

 

However, PRIOR TO SUBMISSION, that is, in CAYUSE, you must check your application for content errors (typographical errors, wrong attachment versions, figures in the wrong place, etc.) because the UI Division of Sponsored Programs will no longer refuse (i.e., reject) applications once they are on the NIH Commons for the purpose of correcting content errors.


The Cayuse PDF is NEVER 100% identical to what the funding agency reviewer will see. For example, for NIH submissions, the Cayuse PDF will not contain a table of contents, nor will it show headers and footers, both of which are generated in the PDF of the application that you will find in the NIH Commons.

 

However, compared to the Adobe Grants.gov forms (which do NOT permit you to print out a PDF of the entire contents of the application, including the PDF attachments) the Cayuse forms' "print to PDF" feature is extremely convenient (Push one button!) for creating a single PDF file showing ALL forms and the content of ALL PDF attachments.

 

 

S3. What the heck is "PDF" anyway?

"PDF" [Portable Document Format] is a type of file that was invented by Adobe so that users with many different types of platforms (Windows, Macintosh, Unix, etc.) could all open and read the same document.

PDF file example: You should be able to open the following "PDF" file ("ac.pdf") by clicking on the following link:

If this file doesn't open (that is, if you see a box asking you if you want to SAVE it) then you need to install the latest version of the Adobe Reader (which is free). After you install Adobe Reader, click on the above link again, and the document will open.

 

You cannot use Adobe Reader to create PDF files. Adobe Reader is just a "viewer" that let's you read PDF files that have already been created. To create PDF files (from MS Word files, etc.), you need to purchase Adobe Acrobat or CutePDF Pro, or you can obtain at no cost CutePDF Writer.

 

 

S4. There appears to be a "LOCK" on my proposal in Cayuse and no one can get rid of it!
This is probably caused by an "improper exit" from Cayuse by a user who was editing the proposal. Cayuse users MUST use the blue " [ Sign out ] " icon in the upper right hand corner of the screen when exiting Cayuse. If a user simply closes their browser window (by clicking on the "X" in the upper right corner of the browser), the Cayuse session remains active and the proposal will remain locked (assuming the user was in the proposal prior to closing the browser window). So, even though no one is actually logged in to Cayuse and editing the proposal, it will remain locked. To unlock the proposal, the user who left Cayuse without clicking the blue " [ Sign out ] " icon must log back in to Cayuse and then exit Cayuse correctly by clicking the blue " [ Sign out ] " icon. If this doesn't work, contact jennifer-lassner@uiowa.edu or john-massa@uiowa.edu.


S5. How are subawards (="subcontracts") to non-UI institutions created and attached to the UI proposal in Cayuse?
Note: This is referring to a subaward to a non-UI institution, using funds awarded to the UI from a federal agency:

           NIH [or other federal agency] >> University of Iowa >> Subaward to a non-UI institution

Subawards.com is a free service from Cayuse that simplifies collaboration between research institutions preparing federal grant proposals together. The subawardee creates their subaward budget in Subawards.com and then e-mails the subaward file (it will have a *.caysue file extension, for example: "PennState.cayuse") directly to the UI PI (Principal Investigator) of the prime (UI) proposal. The subaward file is then directly integrated into the UI prime Cayuse proposal by clicking the "Import Subaward" button.

S6.  Where is the "TRAINING LOGIN" link?:
If you want to prepare a Cayuse application for the first time, it's probably better just to log in to the "PRODUCTION ENVIRONMENT" (that is, the "real" Cayuse site for creating and submitting real applications), rather than the "Training Environement,"  which is just for practice.   Most new Cayuse users learn the basics VERY quickly as they begin their first Cayuse application, so we suggest starting out in the "PRODUCTION ENVIRONMENT."

Also, we now have a very detailed Cayuse "Pop-Up" help page, with links to Cayuse demonstration videos, to get you started in the "real" Cayuse PRODUCTION ENVIRONMENT:
